Privacy Policy
What we collect when you book or contact us, why we need it, and how to exercise your rights.
Provisional text, published for review by the pharmacy owners. It has not been approved as legal advice.
Who we are
Lowmoor Pharmacy (M.N. Singh & Sons), 58 Lowmoor Road, Kirkby-in-Ashfield, Nottinghamshire, NG17 7BG. Telephone 01623 756791.
What we collect
When you book an appointment through a service booking form we may collect:
- your name, email address and phone number;
- the service and appointment time you request;
- notes you add, and answers to any questionnaire for that service, which may include health information.
Enquiries
If you use the website enquiry form, the details you enter (name, email, optional phone and service, and your message) are stored securely for pharmacy staff to read and respond to. They are not sent to an external mail service. Staff may contact you using the details you supplied. Please do not include sensitive medical details.
Why we use it
- Appointment administration: confirming, arranging and changing bookings.
- Clinical assessment: so a pharmacist can decide whether a service is suitable for you.
Who can see it
Booking records are for pharmacy staff only. Staff access to the booking system requires a password and a time-based one-time code (TOTP). Staff sign-in uses session cookies to keep staff logged in.
Emails we send
Confirmation emails are kept minimal and are sent through Amazon SES in the London region. Once an email leaves our service, your email provider and other mail systems that carry it may process it outside the UK.
Third-party services
Our website may load content from Google (for example maps or reviews), Instagram (our clinic feed) and web font providers. When it does, those providers may receive technical information such as your IP address and browser details. Please see their own privacy notices for how they use it.
Where data is held and how long
This website currently uses Replit hosting and a database to store appointment bookings and website enquiries. Hosting and database providers process information to operate the service; we do not claim that all website data is stored only in the UK. Please contact the pharmacy if you need further information about data storage or how long a particular record is kept.
Optional website statistics
We count visits to public pages to see which parts of our website are useful and how we can improve it. We do not use these counts for advertising, to build profiles, or to make decisions about people. You can turn visit counting off for free at any time using “Privacy settings” in the footer or the notice. If you have turned it off before, it stays off. Your browser’s Do Not Track or Global Privacy Control setting also turns it off. We do not count visits to staff pages.
For these statistics, we do not save search terms, full web addresses, names, contact details, booking details or what you type into forms. To avoid counting the same browser more than once in a day, we briefly use a changing code made from connection and browser details. We remove that code after the day ends, and keep only page and visit totals for up to 400 days. We do not use tracking cookies for these statistics. Your choice is saved in your browser; clearing browser data or using another browser may reset it. If we cannot read your saved choice, visits are not counted unless you turn counting on for that visit.
Why we use these counts: our legitimate interest in making the website better. Turning counting off stops further visit counting in this browser, but does not remove totals already counted. It does not affect making appointments, sending enquiries or staff sign-in.
The administrator dashboard separately shows appointment and enquiry totals from records held by the pharmacy.
Your rights
Under UK GDPR you can ask to access, correct or erase your information, restrict or object to its use, and in some cases receive a copy in portable form. Contact us using the details above to ask. If you are unhappy with our response you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
